GUIDELINES FOR STUDENTS ON THE SUBMISSION OF EXTENUATING CIRCUMSTANCES

 

All students should note that it is their responsibility to report in writing to Graduate Research Support (GRS) any extenuating circumstances which they feel may have adversely affected their performance either prior to or during an assessment period.  In addition, the University requires that any claim for extenuating circumstances to be taken into account must be accompanied by relevant documentary evidence from a professional e.g. Doctor, Counsellor, Disability Support Advisor and must be submitted before the next meeting of the Assessment Board (dates available from the Programme Leader or GRS).  Extenuating circumstances submitted after an Assessment Board has met will only normally be considered if it can be shown that there is good reason why this information could not have been provided before the Board met.  The late submission must be detailed in a justification accompanying the extenuating circumstances.

 

In order to ensure that your extenuating circumstances are fully considered, you must complete an extenuating circumstances form, making sure you include all modules for which you wish to claim extenuating circumstances.  It is your responsibility to provide us with specific details of how the modules have been affected.

 

Please note that the details of your extenuating circumstances claim will be given to the Postgraduate Research Degrees Extenuating Circumstances Panel, but will not be divulged to any other person.  If you feel that the nature of your circumstances is such that you would not wish the information to be disclosed, please discuss this with your Programme Leader allowing sufficient time in advance of the deadline.

 

Please note that for extenuating circumstances to be accepted the panel must be able to assure itself that:

 

a)                   The documentary evidence presented properly supports the claim for extenuating circumstances.

b)                   the nature of the extenuating circumstances claimed is such that it could have affected the student’s performance

 

The assessment board will need to establish that the time-scale covered by the evidence coincides with the assessment period, or to the period immediately prior to the assessment.  The assessment board will also consider the extent to which the extenuating circumstances presented could have affected your performance.

 

 

COMPLETING THE EXTENUATING CIRCUMSTANCES FORM

 

1)                   If you wish to provide further explanation of your circumstances, attach an additional signed statement from yourself to the form.

2)                   The evidence provided in support of your claim must be the original medical certificate, counsellor’s letter, etc. (Please note self-certified sick-notes are not acceptable)

3)                   Date of affected assessments: for assignments, this means the date of submission. In order for extenuating circumstances to be accepted the dates must correspond with the claim for extenuating circumstances.

4)                   Attach the original documentary evidence in support of your claim to this form and hand it in to GRS.  A receipt will be provided but you are strongly advised to retain a photocopy of this form and your evidence.

5)                   Make sure you complete all sections of the form: incomplete forms cannot be accepted.  If you are unsure about any aspect of the form please ask a member of the admin team for guidance.
